WORKFLOW FOR THE APPROVAL OF INTRACOMPANY OPERATIONS

From SCO Solutions we have supported different clients from multiple industries to respond to challenges through innovative technological solutions that generate true value. On this occasion, we share with you a solution that we developed for a Multinational which required having a functionality that can record and identify transactions between business units (Intracompany) in accounting in order to obtain information for management purposes (reporting holding and local analysis), the Balance Sheet, Income Statement in each of SAP systems corresponding to two different business lines, as well as complying with regulatory requirements of the energy sector.

What was done to respond to this requirement?

Two automatic posting programs were created, one for each line of business (that is, one in each SAP system) for intracompany transaction postings. The above is processed with a single transaction Z , to be executed from either of the two systems. The SAP system from where the process starts is considered as the sender system and consequently the other SAP system will be the receiver, considering:

  • The Issuer system allows you to load a template with the concepts to be registered by creating a Preliminary document that will trigger a Workflow (WF, workflow), which after its approval will register the income and counterpart account of the income "balance account" in the system of the Line of Business that provides the service, and then automatically register the cost and cost offset account "balance account" in the system of the Line of Business receiving the service. 
  • In order to post the preliminary documents, they must be approved by the managers defined for each line of business from their corresponding systems.
  • The concepts that applied to accounting in this solution are parameterized in Z tables.

In both programs, the balance sheet accounts point to the same global company and segment, in order to guarantee closing at zero by default, considering that these transactions do not generate real cash flow.
